Constitution of Committee and Roles of Each Postholder

NB: A Committee Member can hold more than one role

ROLE

NOMINATIONS

Chairman

· Primary contact and spokesperson in dealings (including written correspondence) with rail industry companies, statutory authorities and similar agencies and press

· Keeping Deputy Chairman appraised of personal activities relating to SENRUG

· Chairing meetings, keeping to time, ensuring relevant issues are considered and decisions / policies reached, ensuring SENRUG acts within its constitution, exercising casting vote in instances of policy deadlock

· This postholder needs to have access to email.

DENNIS FANCETT

Deputy Chairman

· Keep generally updated with Chairman’s activities, will automatically take over from Chairman should Chairman become unavailable for any reason (temporary or permanent), permanent take over to be ratified at next committee meeting or AGM

· First choice to deputise for Chairman at any event that the Chairman is unable to make

· As this role has no specific responsibilities other than “watching brief” it may be combined with another Committee Member role.

· This postholder needs to have access to email.

JOHN EARL

Membership Secretary

· Dealing with enquiries from new members, despatch of “Welcome” letter, banking of subscriptions (either directly or via Treasurer), updating Membership Database

· Dealing with annual membership renewal exercise

· Liasing with Treasurer to ensure income from membership subscriptions is banked and correctly accounted for.

· Keeping membership list up to date with details of contact details, date last renewed and whether option to renew by standing order is selected. Sharing membership list with other committee members as required

· This postholder needs to have access to email and a software for keeping membership records (probably Execl)

JOHN EARL

Secretary

· Recording of attendees at public meetings and committee meetings, with details of whether attendees are SENRUG members or not.

· Keeping a record of proceedings (minutes) of such meetings

· Distributing information to members via email for those members with email and through Postal Secretary for those members without email, using up to date membership list supplied by Membership Secretary, (and providing Postal Secretary with material to be mailed out and names and addresses to use)

· This postholder needs to have access to email.

JOHN BRIERLEY

Postal Secretary

· Organising postal mail-outs to those members without email, using material and name and address lists supplied by Secretary or Membership Secretary

COLIN and CORAL PATMORE

Treasurer

· Liasing with Membership Secretary to ensure income from membership subscriptions is banked and correctly accounted for.

· Primary contact with bank, holding cheque book and paying-in book, receiving and checking bank statements

· Confirming there are sufficient funds to support proposed expenditure, issuing cheques for expenditure and to reimburse miscellaneous expenditure of committee members

· Preparing simple end of year accounts, getting them “independently examined” , presenting same to membership and answering questions on them

· Introduction of simple rules concerning financial transactions to ensure good financial practice & management

· This postholder needs to have access to email and software for keeping accounts (probably Excel)

RICHARD HILTON

Newsletter Editor

· Compile Newsletter from items and photos from members, especially committee. Target 3 times pa, 2 pages long.

· Use discretion to decide what can and can’t be included and to edit contributions based on available space

· Confirm final draft with Chairman

· Convert ito pdf format for email and photocopying / printing

· This postholder needs to have access to email, desk top publishing and facility to convert a document into pdf
